Find the gap first

Needs approved SMS sending, appropriate opt-in and testing. A text-back message alone is not a two-way AI booking conversation.

Needs a configured Conversation AI bot, calendar and SMS channel. Messaging and AI usage must be priced in the written order.

AI callbacks need eligible consent, approved calling times, retry limits and testing. Do not assume one missed call authorizes AI marketing calls.
Revisit last week's unbooked leads Optional
“You may already have interested people in your records who never booked. We can review eligible inquiries from last week and follow up to see whether they still need help—giving existing inquiries another chance to become appointments.”
This is lead reactivation. It follows up on existing inquiries; it does not find new prospects or guarantee recovered jobs.

Example: an HVAC inquiry from seven days ago never booked
- Review the business's existing contacts or imported call history. Confirm the original request, last contact, current need and permission for the selected channel.
- Exclude people already booked, resolved, opted out, marked do-not-contact or otherwise ineligible. Pause automation when staff are handling the conversation.
- Send an approved follow-up during the contact's permitted hours. For example: “Hi [name], this is [business]. You asked about [service] last week. Do you still need help scheduling?” Use only for contacts approved for that outreach.
- If interested, offer available times or arrange staff follow-up. Stop on a refusal or opt-out; suppress further follow-up when booked. Agree on a small retry limit before launch.
- Report contacted, replied, booked and declined outcomes. Count revenue only after the business confirms completed paid work.
Old calls do not automatically replay through a new missed-call trigger. Cristopher must review and enroll eligible existing records. A business owner approving a list is not a substitute for each contact's required consent. AI marketing calls generally require prior express written consent; honor applicable calling rules and opt-outs.
Agent question to uncover this need
“Do you have missed calls or estimates from last week that nobody has followed up on yet? How do you track those today?”
Record the approximate count, where the records are kept and what permission was collected. Request a review from Cristopher; do not upload or call the list during the sales demo.

Confirm that the owner intends to provide information and access, participate in testing and use the agreed service.

Use the fixed link only for a final order approved by Cristopher with an exact amount due of $500. If the amount differs, request the customer-specific invoice.

Request a different invoice or owner review
Never collect card or bank credentials. A customer screenshot or opened link does not confirm payment. Cristopher verifies the successful transaction in HighLevel. Then continue to step 6: review and sign .
Have the customer review and sign
Checkout is configured to open the acknowledgment after payment. Cristopher still verifies the actual transaction. Send the final agreement for signature as well; use the signing link below if the handoff does not open. Use the same order and terms provided before checkout. Ask the customer to complete the acknowledgment themselves using their legal business name, signer title, service address, agreement ID/version, invoice reference and exact approved total.

The customer signs; the agent never signs for them. PDF submission records and email copies to the customer and Cristopher’s work inbox are configured. Their delivery still needs a completed test. Cristopher must review the saved signatures before setup begins. Payment and signatures are separate records. If the customer does not sign, pause setup and resolve their concerns or cancellation under the disclosed terms; do not add new terms after payment.
Set up the handoff
“After payment and signatures are confirmed, we’ll gather your business information, configure Riley and test it together. We’ll agree on go-live and your free-month dates in writing.”
- Cristopher confirms payment, reviews both signed records and saves the receipt with the same order.
- Send the onboarding checklist and arrange the setup conversation.
- Confirm business hours, services, calendar, alert recipients and fallback contact.
- Obtain written go-live approval after testing; monthly consent is a separate step.
Listen, clarify, respond, then offer one next step
Ask one question before responding. Use the owner’s answer, avoid arguing, and accept a clear “no.” Do not invent savings, offer unauthorized discounts or promise results.
“I already have that.”
Ask: “What are you using, and does it also cover overflow and after-hours calls?”
Respond: “If your current setup reliably captures and books those calls, you may already be covered. If there is a gap, we can compare how Riley handles it.”
Next: Offer the demo only for the gap they identify. Do not claim their current provider is worse.
“It’s too much money.”
Ask: “Is the concern the monthly amount, the setup fee, or whether it will be worth it?”
Respond: “That’s fair. The service is $500 monthly after the free service month. We should compare that with the actual problem you want solved.”
Explore: “What is the approximate profit on a typical completed job?” Use their number, not an invented one. For example, $500 ÷ $250 profit per job = two additional completed jobs to cover the monthly fee alone; this is an illustration, not a forecast, and excludes setup and other costs.
Next: Offer the written scope or a demo. If the economics do not fit, acknowledge that rather than pressure them.
“Why do I need to pay setup?”
Ask: “Would it help if I explained what the setup work covers?”
Respond: “We customize the receptionist, connect the agreed calendar and routing, and test the result. The fee pays for that work and reserves our setup time. The first service month is free; setup is a separate service.”
Next: Read the red setup/refund disclosure and send the acknowledgment for their own review.
“I want a person answering my phone.”
Ask: “Would you want staff to answer first and have backup only when they cannot?”
Respond: “That is the routing we can configure. Your team gets the first chance; Riley handles the unanswered path. We test that routing with you before launch.”
Next: Demonstrate Riley’s conversation and ask which situations should require staff follow-up.
“My customers won’t talk to AI.”
Ask: “What worries you most—the voice, wrong answers or losing the personal touch?”
Respond: “Let’s hear it together. Riley can make mistakes, so we agree on approved information, limits and human follow-up. You can judge whether it fits your callers.”
Next: Run the demo using a common service request. Do not describe Riley as a human.
“What if it makes a mistake?”
Respond: “That is possible. We test your setup and approved answers, and your staff review alerts and handle the actual service work. We agree on a fallback contact and support process before launch.”
Next: Ask for a difficult caller scenario and arrange a scoped test with Cristopher. Never promise perfect accuracy.
“Just send me information.”
Ask: “Of course. Is the main thing you want to see the pricing, how it answers, or how booking works?”
Respond: “I’ll send the relevant information to the address you approve.”
Next: Confirm email and permission, submit the quote request if wanted, and agree on a follow-up only if they want one.
“I need to think about it / ask my partner.”
Ask: “What would you need to feel comfortable making a decision?”
Respond: “Let’s make sure you both have the written scope and can hear the demo before deciding.”
Next: Offer a joint demo or a follow-up time they choose. Do not push someone to sign without authority.
“Can it text and call customers back?”
Respond: “We can scope missed-call texts, two-way text booking and AI callbacks to eligible contacts. These options help follow up when staff are busy, but they need the right permissions, configuration and testing. They are not included in the current $500 monthly inbound plan unless added to your written order.”
Next: Ask which follow-up gap matters most, then use the benefit scripts and request a scoped option from Cristopher. Do not promise an activation date or price for an unapproved option.
“Can you guarantee more business / give me a refund if I don’t use it?”
Respond: “We cannot guarantee revenue or call volume. Setup pays for completed configuration and testing, so non-use alone does not refund a completed setup. If you cancel before completion, we retain only documented completed work and refund the rest. Your agreement also covers undelivered service and billing errors.”
Next: Read the written terms together. Do not say customers waive their dispute rights.
“I’m not interested.”
Respond: “Understood. Thank you for your time.”
Next: End politely. Record any do-not-call request through your approved calling process. Do not continue an objection loop.
Answers to keep the offer consistent
Does Riley replace the existing team or phone number?
No staff replacement is required. The intended setup gives staff the first chance to answer. Cristopher reviews the existing number, carrier and routing before confirming a forwarding or porting plan; do not promise that a specific number can be moved immediately.
When does the free month start?
On the agreed go-live date after testing and written approval, not on the setup payment date. The first paid month begins one calendar month later, with the exact charge date confirmed before separate recurring consent.
What happens after 300 minutes?
Unused minutes do not roll over. We notify the customer at 240 minutes and arrange approved extra usage or fallback routing. Extra usage is $100 per 100-minute block for the current service month only, with written approval. No automatic unapproved overages.
What does the owner receive after a call?
The included setup sends an email alert to the agreed recipients so staff can review the request and follow up. Cristopher can show the approved demo record. Confirm the specific fields and recipients during onboarding.
Does signing start payment or monthly billing?
No. The preliminary quote is review-only. The customer receives the full order and terms before checkout, pays the one-time setup amount in step 5, then reviews and signs in step 6. No setup work begins until both are complete. Signing does not create another charge; monthly billing needs separate consent.
What if the signed copy or quote email is missing?
Confirm the address and ask them to check Spam. Escalate to Cristopher to inspect the saved submission and delivery. Do not treat a missing email, unsigned form or verbal “yes” as completed acceptance.
Can I discount the price or promise an extra feature?
No. Ask Cristopher for a written revised order first. Present only the approved price, scope and timeline.
Check the quality of the sale
